1. Who We Are
WaivedIn is a digital waiver and check-in platform operated by WaivedIn Inc. ("we", "us", or "our"). We provide software that allows individuals to sign liability waivers digitally and allows businesses to manage participant check-ins. Our website is waivedin.ca.
2. Information We Collect
When you create an account and sign a waiver, we collect:
- Full name and date of birth
- Email address and phone number
- Home address
- Emergency contact name and phone number
- Your digital signature (image)
- Medical notes for dependents, if provided voluntarily
We also collect basic usage data such as check-in timestamps and the businesses you have signed waivers for. We do not collect payment information.
3. How We Use Your Information
We use your information to:
- Generate and store signed waiver PDFs on your behalf
- Enable businesses you visit to verify your waiver status
- Allow you to sign waivers for dependents under your account
- Send you a one-time email confirmation when you register
- Improve and maintain the platform
We do not sell your personal information. We do not use your information for advertising.
4. Who We Share Your Information With
Your waiver information — including your name, date of birth, and signature — is shared with the specific business whose waiver you signed. This is the core function of the service.
We use Supabase (supabase.com) to store and manage data. Your data is stored on Supabase-managed infrastructure. We do not share your information with any other third parties except as required by law.
5. Data Retention
Your account and signed waiver records are retained for as long as your account is active. Signed waiver PDFs are stored for a minimum of 10 years as required to support the legal validity of the document. You may request deletion of your account and associated data by contacting us at privacy@waivedin.ca. Note that signed waiver records may be retained beyond account deletion for legal compliance purposes.
6. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and personal data (subject to legal retention obligations)
- Withdraw consent for optional data uses
To exercise these rights, contact us at privacy@waivedin.ca.
7. Children
WaivedIn allows parents and guardians to sign waivers on behalf of minors as dependents on their account. We do not allow minors to create their own accounts directly. If you believe a minor has registered independently, please contact us immediately.
8. Security
We use industry-standard security practices including encrypted data storage and secure HTTPS connections. Your signature is stored as a protected file accessible only to you and the businesses you sign waivers for. No security system is perfect; if you become aware of a security issue, please contact us at privacy@waivedin.ca.
9. Changes to This Policy
We may update this policy from time to time. If we make material changes, we will notify you via the email on your account. Continued use of the service after changes constitutes acceptance of the updated policy.
